Part-Time Administrative Assistant

Charlton Baptist Church (CBC) is seeking a qualified candidate to serve in the role of Administrative Assistant. This will be a part-time position, serving 20 hours per week. Those interested should possess strong computer proficiency, good communication skills, and the ability to manage a professional office.

Job Description

Statement of Purpose:

The Administrative Assistant will minister to the pastors and staff by lightening their administrative load, including but not limited to all tasks outlined in the below description. They minister to the congregation by listening to their needs and providing important information to them regarding the functioning of Christ’s Body here at Charlton Baptist Church. In addition, they will minister to those outside the church by dealing in a Christ-like manner with those who call or visit the church for information and help.   

Reports to: Lead Pastor 

Hours: 20 Hours Weekly (Schedule to be determined by the Lead Pastor.) 

Duties:  
Communication: The Administrative Assistant will be primarily responsible for the development and distribution for all written and online communication regarding church events and ministries. This will include, but may not be limited to:  

  • Publishing weekly bulletins and inserts.  
  • Ensuring bulletin boards are up-to-date and replenished with communication pieces.  
  • Creation of weekly announcements (for use verbally, on social media and in ProPresenter).  
  • Development and distribution of weekly e-mail communication (The Messenger and other church-wide announcements).
  • Maintaining the church website.
  • Publishing additional church publications upon request (servant manuals, annual reports, treasurer’s reports, etc.).
  • Management of church director, calendar and registrations (using Planning Center software).
  • Provide on-site administrative support for regular worship services and occasional special events. 

Office Management: The Administrative Assistant will be responsible for managing office needs in support of CBC ministries. This will include, but may not be limited to:  

  • Monitoring and purchasing office supplies. 
  • Monitoring the condition of office equipment and notifying the appropriate individuals when repair or replacement is needed.
  • Managing the distribution of all incoming mail and deliveries. 
  • Managing the church calendar and building use requests (in cooperation with the Servants). 
  • Organizing and maintaining of all paper and electronic files for the church with the exception of employee and financial records (filing).
  • Organizing the volunteer work room.   

Reception: The Administrative Assistant will serve as a welcoming presence for CBC, serving as an initial point of contact for all those who visit or call into the office. This will include, but may not be limited to:

  • Receiving guests who visit the CBC office.
  • Answering phones. 
  • Screening all guests and phone calls to ensure individuals are connected to the appropriate staff member or ministry leader.
  • Ensuring all communication pieces provided in the sanctuary are well-stocked and organized in the appropriate locations (visitor cards, envelopes, etc.) 

Key Competencies:

  • Effective communication skills (written and verbal).
  • Proficiency with computers and knowledge of general office software and ability to learn new software (Some currently in use, include: Mailchimp, Planning Center, ProPresenter, Canva, Web design software, Apple OS and Apple Office Suite, G-Suite, etc.)
  • Strong reading comprehension.
  • Good people skills.
  • Clerical knowledge and ability.
  • English language proficiency.
  • Creative ability.
